A memorable event is one nobody remembers waiting at. But the line starts before the doors even open. By 8:15 it's out past the escalators, your keynote speaker is asking whether to push the start time, and the attendee who flew in from Denver is spending their first twenty minutes with you staring at the back of someone's head. Nobody remembers the closing session. Everybody remembers the line.
Here's the good news: check-in is one of the few event problems you can solve with math, weeks ahead, on the back of a napkin. The number to start with is about 60 seconds per attendee at a staffed station, which works out to roughly 60 people per hour. Multiply that against the number of people arriving in your busiest hour, not your total headcount, and you've got your station count. Here's how to run it.
Why check-in lines form
Attendees don't arrive evenly. They arrive in a spike, and the spike is predictable: roughly 60 to 70 percent of your attendees will show up in the 90 minutes before the opening keynote, and the heaviest 30 minutes of that window will carry a disproportionate share.
Planners staff for the average and get crushed by the peak. If you've 1,000 attendees checking in across a three-hour registration window, the average is 333 per hour. But the peak half hour might carry 300 people on its own. Staff for the average and you've built a line into your event on purpose.
How many check-in stations do you need?
Work backward from the peak, not the total. Estimate the number of people arriving in your busiest 60-minute window, then divide by the throughput of a single station.
Plan on about 60 seconds per attendee on average across a full registration desk. That figure absorbs the whole range of what actually happens at a station: the smooth scan-and-go, the name that's not in the system, the person who needs their title corrected, and the colleague picking up two badges at once.
The method you choose moves that average up or down:
- On-demand badge printing is the fastest approach. The attendee is found or scanned, the badge prints in seconds, and it's handed over correct and complete. Nothing has to be sorted, searched, or corrected, which is what actually costs time at the desk.
- Pre-printed badges on an alphabetical pickup table move quickly when the list is accurate, but slow down the moment a badge is misfiled, a name is spelled differently than the attendee expects, or someone registered twice.
- Pre-printed badges with a staffed lookup trade speed for accuracy. A staffer finds the badge for the attendee, which prevents misfiles but puts a person in the middle of every transaction.
- Self-service kiosks scale well and reduce staffing, though attendees hesitate at the screen, and any error routes them to a staffed desk anyway.
- Walk-in registration is the slowest by a wide margin, since a new record has to be created on site. Always run walk-ins in their own lane so they never sit in the main queue.
At 60 seconds per attendee, a single station clears about 60 people per hour. Run the numbers for a 1,000-person conference with a 9:00 a.m. keynote and registration opening at 7:30. Assume 650 people arrive between 7:45 and 8:45.
- 650 attendees in the peak hour. That's the number that matters, not the 1,000.
- At 60 per station per hour, you need about 11 stations. That's the honest number, and it's usually higher than planners expect.
- Add one more for headroom. Call it 12. A printer will jam, a laptop will freeze, and someone will need fifteen minutes of help.
The rule of thumb: one staffed check-in station per 60 attendees arriving in your peak hour, plus one spare. Nearly every check-in disaster traces back to someone dividing by the total headcount instead of the peak.
Pre-print or print on site?
This single decision moves your throughput more than anything else on the list.
On-demand printing is the fastest way to move a real registration desk. The attendee is scanned or looked up, the badge prints in seconds, and it's handed over correct and complete. Nothing has to be pre-sorted, searched, or fixed, and that's where check-in time actually goes.
Pre-printing looks quicker on paper, and in a clean run it is. In practice it carries a whole category of problems that on-demand printing avoids: misfiled badges, misspelled names you can't correct on site, missing badges for late registrants, and boxes of unclaimed badges for the 20 percent who never showed. Every one of those becomes a stalled transaction at the front of your queue.

The lane design that actually prevents lines
One queue feeding many stations beats many queues feeding one station each. It's the same reason banks and airports use a single serpentine line: one slow transaction stalls one server instead of an entire lane of people.
Then split the traffic by transaction type, not by alphabet:
- Express lane, pre-registered: the majority of your attendees. Fast, high-volume, minimal conversation.
- Walk-in and on-site registration: a physically separate desk, ideally around a corner. These transactions take two to four minutes and will destroy your throughput if they sit in the main queue.
- Problem desk: misspellings, missing registrations, payment issues, badge reprints. One or two people whose only job is to absorb the hard cases so the express lane keeps moving.
- Speakers, sponsors, and VIPs: a separate table. Not because they're more important, but because their badges are different and their transactions are non-standard.
Alphabet splits fail because names aren't evenly distributed. The S line will always be longer than the Q line.
How many staff do you need at registration?
Per station, you need one person. Then add the layer most planners forget:
- One greeter at the front of the queue per 200 people in the peak hour. Their job is to sort people into the right lane before they get to a station. This is the single highest-leverage role at check-in and it's almost always unfilled.
- One floater per four stations to swap printer stock, unjam hardware, and step in when a station stalls.
- One person who owns the problem desk and does nothing else.
- One lead who isn't assigned to a station and can see the whole floor.
A greeter who redirects a walk-in out of the express lane before they reach the front has just saved four minutes of queue time for everyone behind them.
How do you handle walk-in registrations?
Assume you'll have them, even if your registration is closed. Somebody's colleague will show up. A speaker will bring a guest. A sponsor will send two extra people.
- Give walk-ins their own physical desk, away from the main queue and clearly signed.
- Keep blank badge stock and a working printer at that desk, not shared with the express lane.
- Order 5 to 10 percent extra badge stock. It's the cheapest insurance at the entire event.
- Decide the payment question before the doors open. "Can they pay on site?" isn't a question you want to be answering at 8:15 a.m. with forty people watching.
The most common single point of failure at check-in isn't the software. It's the printer. Bring a spare, bring extra badge stock, and make sure at least two people on your team know how to clear a jam without a manual.
What good looks like
Target a maximum wait of five minutes at the peak. Under two minutes is excellent. Anything over ten and attendees start their day annoyed, which colors everything that follows, including the survey they fill out at the end.
Measure it. Put someone at the back of the queue with a stopwatch at the busiest moment and time three people front to back. You'll learn more in ten minutes than from any post-event report, and you'll know exactly what to change next year.
